How to Use AI to Reply to a Bad Google Review
To reply to a bad Google review with AI, paste the review and the facts of what happened, and ask for a short, calm public reply that thanks them, acknowledges their experience without arguing, and moves the conversation offline. Wait until you've cooled down, edit the draft so it sounds like you, then post it from your Google Business Profile.
Copy-paste prompt
Help me answer a negative Google review for my [TRADE] business, [COMPANY]. The review: "[PASTE REVIEW]" What actually happened (for your context, don't repeat private details publicly): [YOUR SIDE, IN A FEW SENTENCES] Write two public replies under 90 words each: A) if the customer has a fair point, B) if the review is mostly unfair. Both: thank them, use their first name, stay calm, no excuses or arguing, no customer personal details, no invoice amounts. Offer to talk directly at [PHONE OR EMAIL]. Sign as [NAME], [TITLE]. Then, separately, list anything in my side of the story I should NOT say publicly.
Steps
- Don't reply in the first hour. Get the facts from your tech first.
- Run the prompt and pick reply A or B. Edit it into your own words.
- Post the reply from your Google Business Profile.
- Call the customer if you can. A fixed problem is worth more than a perfect reply.
- If the review breaks Google's policies (for example, it's not a real customer), you can report it, but reply politely anyway.
Remember future customers read your reply more than the reviewer does. Write for them.
