AI Daily Schedule Summary for a Field Crew
To make a daily schedule summary for your field crew with AI, export or copy tomorrow's job list, paste it into ChatGPT, Claude, or Gemini with the prompt below, and get back a short briefing per tech: stops in order, arrival windows, materials to load, and notes to watch for. Send it the night before or first thing in the morning.
Copy-paste prompt
Here is tomorrow's schedule: [PASTE JOB LIST: tech, customer first name, area or cross streets, time window, job type, notes]. Make a briefing for each tech, formatted for a phone screen: - Stops in time order with arrival window and job type - Materials or parts to load, based on job type and notes - Watch-outs from the notes (gate code needed, dog, call before arrival, repeat issue) - One line at the top: total stops and first arrival time Keep each briefing under 120 words. Use only information from my list. If something is missing (like an arrival window), flag it as [MISSING] instead of guessing.
Steps
- Copy tomorrow's jobs from your scheduling software or spreadsheet. Most can export a list or print a day view you can copy text from.
- Remove full addresses, phone numbers, and anything sensitive if you don't want them in an AI chat. Cross streets or neighborhood are usually enough for the briefing.
- Paste with the prompt and check the result against the real schedule.
- Send each tech their part in your group text or team chat.
- Ask: "What looks tight or risky in this schedule?" to catch problems before the day starts.
Your scheduling software stays the source of truth. If the AI summary and the schedule disagree, the schedule wins.
